District Clerk

Position: District Clerk
Reports to: Superintendent
FTE: .80 (32 hours per week)

Position Summary

The District Clerk ensures the smooth and professional operation of the school and district office. This role supports the Superintendent and Board of Trustees, maintains accurate records, oversees compliance with reporting requirements, and helps connect the school with families and the broader community.

Schedule: 32 hours per week, typically Monday through Thursday. Evening Board meetings are part of the regular weekly hours.

Key Responsibilities

  • Maintain confidentiality as secretary to the Superintendent and Principal

  • Manage school and district calendars, student information system (SIS), and official records

  • Oversee student enrollment, attendance, immunization reporting, and state data collection

  • Coordinate substitute teacher coverage and staff absence requests

  • Prepare agendas, minutes, and records for School Board meetings

  • Serve as election administrator when required

  • Maintain accurate financial records and student activity accounts

  • Assist trustees in policy compliance and financial/legal obligations

  • Coordinate district communications with families and the community

  • Support transportation, field trips, and extracurricular logistics

Qualifications

  • Accounting/bookkeeping experience

  • Bachelor’s degree preferred (Associate’s degree or equivalent experience considered) 

  • Strong organizational and office administration skills

  • Clear and professional written and verbal communication skills

  • Proficiency with word processing, spreadsheets, and databases

  • Ability to work independently, manage multiple priorities, and meet deadlines

  • Sound judgment, professionalism, and ability to maintain confidentiality

Additional Information

  • Remote Flexibility: Potential for one to two remote workdays per week, depending on experience

  • Must pass a fingerprint background check

  • Commitment to a drug-free workplace

  • Adherence to district technology, confidentiality, and professional conduct standards
